EXIM Invoice Module

Introduction

Shipsy's Invoice Module is designed to streamline the invoicing process, providing a comprehensive solution for managing invoice lifecycles. The module enables users to create, review, and approve invoices, track payment statuses, handle disputes, and settle payments efficiently. It caters to both payable and receivable invoices, allowing shippers and vendors to manage their respective invoicing processes seamlessly.

Key Features

  1. Invoice Creation and Upload: Users can create and upload invoices, selecting specific invoice types and attaching relevant documents.
  2. Discrepancy Detection: The system automatically highlights any discrepancies between bid line items and invoice line items, allowing users to address issues promptly.
  3. Reference Details for Comparison: The module provides detailed reference data on bid line items alongside invoice line items, enabling shippers and vendors to easily compare these details for reconciliation.
  4. Dispute Management: Users can raise and manage disputes on discrepancies in invoices, with options for remarking and re-uploading corrected invoices.
  5. Approval Workflow: Invoices follow an approval process where charges can be compared and validated before approval.
  6. Payment Tracking and Settlement: Users can record payment details, upload receipts, and track settled invoices for comprehensive payment tracking.
  7. Dashboard Access and Reporting: A central dashboard provides real-time insights into invoice statuses and access to transaction details.

How It Works

  1. Accessing the Module:

    • Shippers can access the “Payable” section, while vendors access the “Receivable” section.
    • From these sections, users can view pending invoices, upload new invoices, and compare charges as needed.
  2. Invoice Submission:

    • Vendors select the “New Invoice” button to initiate invoice creation, choose the invoice type, and upload supporting documents. If linked to a booking, vendors can view reference rates and make charge comparisons.
  3. Invoice Approval:

    • Shippers review invoice details in the "Review Pending" tab, compare quoted and actual charges, and approve the invoice if details are correct.
    • During this review, any discrepancies between bid line items and invoice line items are automatically highlighted, making it easier to identify inconsistencies.
    • Once approved, the invoice moves to the “Approved” tab, awaiting payment confirmation.
  4. Payment and Settlement:

    • Shippers record payment details and upload payment receipts in the “Record Payment” tab. Vendors can then view settled invoices under the “Settle” bucket.
  5. Dispute Handling:

    • Users can raise disputes by adding remarks on discrepancies. Vendors then re-upload corrected invoices, and shippers re-review them before proceeding with payment.

Key Value Propositions

  • Enhanced Efficiency: The module simplifies complex invoicing processes, reducing the manual workload involved in invoice management.
  • Transparency and Accuracy: With options to compare quoted and actual charges, and automatic discrepancy detection, the module ensures accurate billing and payment processing.
  • Effective Dispute Resolution: By providing clear processes for raising and resolving disputes, the module enhances communication and minimizes errors.
  • Comprehensive Lifecycle Tracking: The module tracks each stage of invoicing from creation to payment, offering visibility and accountability.
  • User-Friendly Interface: The intuitive dashboard provides easy access to important features and real-time invoice status updates for both shippers and vendors.
